Additional Advance Shipment Information for Inbound Freight Services

- All shipments received outside these dates will be subject to a 25% late fee
- Shipments that arrive at the warehouse after 9/6/2024 cannot be guaranteed to arrive before the show opening. Additional handling charges will be added for expedited trucking and freight
- Please print the advance shipment labels by clicking on that option in the left-hand menu
- Exhibitors are responsible for all freight charges unless directly specified by the Association
- All inbound freight must have both a Material Handling Agreement (attached as a PDF in the left-hand menu) for the outbound freight instruction and a pink Freight Handling Sticker which will need to be filled out and placed on each piece of outbound freight. This is mandatory.
- Outbound freight has to be picked up from the Advanced Warehouse within 3 business days (72 hours) or it will become MCS Choice which will be shipped out to the address and shipping time listed on your information
📦 Outbound Freight Instructions
All outbound freight must follow the procedures outlined below. Failure to comply will result in your shipment being designated as Force Freight and shipped via MCS Choice at your expense.
- ✅ Required Documents & Materials
- Material Handling Agreement (MHA)
- Found as a PDF in the left-hand menu.
MANDATORY for all outbound shipments.
Must be fully completed, including all blue-highlighted fields:
Preferred carrier (if applicable)
Account number for billing (if not using MCS)
Return shipping method: Next Day, 2nd Business Day, Ground, etc.
Pink Freight Handling Sticker (RTW Sticker)
Available at the MCS Service Desk during Move-In/Move-Out.
One completed sticker per item is required, unless palletized (then one sticker per pallet).
Must be filled out with accurate return details and securely attached to each piece of freight.
🚫 Important Policies
No onsite carrier pickups are allowed.
All outbound freight will return to the Advanced Warehouse first.
Carriers have 2 business days (48 hours) from show close to pick up freight from the Advanced Warehouse.
If no MHA is submitted, or if critical information is missing or inaccurate, MCS will handle your shipment as Force Freight.
📤 Recommended Option: MCS Choice (RTW Service)
We recommend using MCS Choice for simple, efficient outbound shipping.
Steps:
Visit the MCS Service Desk during Exhibitor Move-In/Move-Out to pick up pink RTW Stickers.
Complete and attach stickers to each item.
Either:
Leave the freight in your booth (our team will collect it), OR Apply your own prepaid labels (without the RTW sticker) and we will send it with your carrier from the warehouse the next business day.
